Fees & Direct Debit Policy

The Tribe Collective uses the payment management system Stripe for all transactions through our family portal.

It is a condition of enrolment that all families register a card on file on their portal. Tribe staff DO NOT have access to your card information at any time. All of your information is secure.

There are two ways to pay your fees at Tribe

  • Fees in full in the week prior to the commencement of Term

  • Weekly direct debit.

Here’s how it works

Upon Registration: Your annual registration fee will be taken within 24 hours of your online enrolment using the card you have linked to your family account. After that- weekly fees will be debited each week of term from week 1.

Costume Fund Contribution: From 2026 after welcoming feedback from our families we have made the decision to charge a non refundable $25 per class per term costume contribution for classes participating in our end of year concert rather than having a costume invoice generated for each student in Term 3 due by Term 4.

Your costume contribution pays for:

  • Your premium costume for your class routine in the concert

  • Measuring, sizing and ordering your costume by our amazing admin team

  • Shipping and customs charges

  • Costume fitting and any alterations needed to your costume by our sewing team.

This is a popular choice for families with no bill shock for costumes near christmas. Should you swap classes throughout the year- your balance will be transferred. Should you unenrol the costume levy is non refundable and the amount paid is forfeited.

Frequently Asked Questions

What if I want to pay over the counter in Week 1?

You are more than welcome to pay your fees in full over the counter at Tribe in Week one should you choose to. Please note that the first week of classes will be direct debited as a default from your account on the first Monday. A full payment over the counter will of course stop any future payments being direct debited.

What are the associated Stripe fees?

Stripe charges a 1.7% plus 30c transaction fee for all transactions via the portal. We use Square for over the counter transactions at tribe which attract a 1.6% processing fee.

What If I Miss A Payment?

We appreciate that sometimes life happens and you may have insufficient funds in your account. Should a payment decline- Stripe will automatically try to take the payment once a day for the next 3 days. Most declined payments are resolved in this time. Should those attempts fail- the system will recalculate your weekly totals to be direct debited. For example- if your weekly direct debit amount is $20 and you miss a payment in week 4- your weekly direct debit amount will be recalculated to $23.30 for the next 5 payments to make up for the week missed. You can resolve any overdue missed payments manually through the portal or over the counter to prevent the weekly increase. A 10% late fee will be applied to any fees more than 14 days overdue in the instance of multiple failed attempts.

What If I Don’t Want To Put A Card On File?

From 2026 having a card on file is a condition of enrolment. It is a condition of enrolment for most (if not all) service based businesses including gyms, swim centres and any membership based programmes in the current day. While we offer flexible payment options please understand that it is an enormous drain on time (and nerves) for our admin staff to follow up late payments and creates significant cashflow issues for small businesses when the compound effects of fees being 1 week, 2 weeks or more overdue for our students. This ultimately affects the resources we can provide to your children. You can still pay your fees IN FULL either online or over the counter IN ADVANCE however weekly amounts will continue to be direct debited until that full payment is received. We are unable to extend lines of credit to families. We ask for your cooperation moving forward.

What If I Pick Up Or Drop A Class During the Term?

- Any changes you make to your enrolment will be immediately reflected in your weekly direct debit amounts.

- If you SWAP or PICK UP a class you will simply have you amounts applied to the new class. If you DROP a class but are still enrolled for other classes- your account will reflect that.

- If you wish to UNENROL once term has commenced- Please note that class positions are allocated by TERM and split into equal payments weekly. After week 2 you will be liable for the FULL TERM FEE even if you choose not to continue your enrolment.

Key Dates for Commencing 2026

January 3rd: Yearly enrolment Fee of $50 is direct debited for all 2025 enrolled students. Should we not have your card on file and your registration is unpaid you will forfeit your reserved spot on December 20th  and will need to re enrol for your classes via our website subject to availability. Your enrolment payment is non refundable.

Week Commencing January 20th (Preschool) and Week commencing January 27th: Week 1 fees direct debited. Your term fees will be split into equal weekly payments until the end of term.
